MEETING MINUTES

Northbrook Cycle Committee
Thursday, January 18, 2007

ATTENDANCE:

Present: Board/representatives- Aram Bayzaee, David Fowkes, Steve Goldberg,
Chris Mailing, Imelda March, Stacie Marx, Manfred Ray, Jim Weaver.

Visitors- Harold Berman, Brendon George, George Garner, Tim Harrison, Jim O'Connell, Mark Suri

GENERAL: Meeting begun by Aram Bayzaee; Steve Goldberg, Imelda March, Manfred Ray, Jim Weaver arrived for board quorum and meeting began. December Minutes: all in favor.

REPORTS OF OFFICERS:

A. Presidents Report-Aram Bayzaee
-Zipp Wheel was purchased by Chuck Judy

B. V.P. of Rider Development-Chris Mailing
-Chris presented "2007 Category 4 Upgrade Forms" along with a "policy"; an attachment with his e-mail message was included earlier this week.
-Policy is more stringent this year.
-Chris suggested it is best to have all kinks "worked" out of form before posting to web-site; once form is in racers hands, it will circulate, despite any modifications, for duration of racing year.
-An outing = race day = 1 race ‘credit' only.
-David Fowkes recommended that side 1 of "upgrade" form clarify that all events occur in ONE CALENDAR year; Chris will add following clarification to "...ten "outings on the track.": "...ten "outings" on the track in 2007" (2nd paragragh, third line down).
-Chris motioned for approval; all in favor.

C. Race Director- Manfred Ray
-Thursday night races will continue to host Juniors too; currently there are is not enough (mostly) human and general resources to host a separate (Friday) night of racing.
-Races will begin 6:45 sharp
-Technology update: 1) Statistics are expected to be available same night (ROTY, David's tracking systems, etc.)
2) Hardware estimated to cost $5,000
3) Two-way communication needed; inc. in #2 above
4) Stacie suggested confidence in NPD budget vote, allowing track facility improvements (track field house), including DSL and electricity and registration window; vote set for May 1, 2007.
-Manfred submitted motion for approval of discussed technology expenditures UP TO, and NOT TO EXCEED $5,000; includes items in #2 & #3 above, this section; all in favor!
-Registration will be $20 and $10 for Juniors; additional $10 for a Junior racing a category.
-Graham Fisk, in charge of running NCC website has not yet been paid for '06 season; he has completed all work and needs to be reimbursed; Imelda March has invoices; Graham needs to itemize and submit to NCC treasurer for reimbursement; NCC board agreed to pay for '07 season too.

D. Government Relations Director's Report-Mark Harris

E. Treasurer Director's Report-Mark Suri
-Chris Mailing suggested a 2007 budget would help vote financial matters.
-Once Mark has "feet on the ground", board may be able to ‘roll' "Finance and Accounting" back into "Treasurer" responsibilities; as Chris Mailing pointed out, this is how the position was originally organized.

F. Communications Director-Imelda March
-Imelda handed out 2007 race schedule with sponsorships.
-2nd Annual Elaine Nekritz Trophy race is fully funded and will carry a $1,000 total purse. The winner of the race will be an Elite Woman rider (category 1-3) whose name will appear on the trophy. There will also be a category IV race on that night, however, that winner's name will not be placed on the trophy. Thanks to Albertos for the sponsorship. The race will also serve as an Elite qualifier for the women racer.
- The Ladies Night feature race is fully funded and again be sponsored by George Garner Cyclery. The special race will have a $250 total purse, with separate races for category 1-3 and category 4 women.

G. Public Relations Director- vacant

H. Sponsorship Director- Steve Goldberg
-Sponsorship opportunities Form in draft form; once approved, it will be posted on website for those with interest; mail-in capability only.
-Promotion kits; 300 magnets and 2-3 dozen large schedules ???.
-Masters and Juniors sponsorship package begins at $1,000
-Rates; Steve felt it would be difficult to command a premium sponsorship position until all the open slots were filled.
-Steve is in need of names to target for sponsorship; CBike.com, Met Life, SRAM, Wheeling Wheelman, Evanston Bicycle Club and others were mentioned.
-Basic race track costs on a Saturday are $1,000.

I. Secretary-Jim Weaver

OLD BUSINESS:
-Staci Marx: 1) Requested Northbrook Park District logo be included on all flyers, websites, and other marketing materials.
2) NPD deciding on Steve Thordason pay structure.
3) NCC is an affiliate of NPD and can advantage "soft" benefits (copy machine, printing needs, etc); must sign formal agreement-standard form available at NPD; NCC has not yet completed.
-Race day registration: "wet" signature is required (no copies); minors require parent for signature and ‘release' or, a notarized parent/guardian signature must be on file.
-Chicago Bike Show is April 14-15; Aram Bayzaee contracted for a booth to staff by Aram and Harold Berman.

NEW BUSINESS:
-Stacie Marx also mentioned idea of offering family activities during race day during Illinois Junior Championships; a Saturday in June for families and children; "Flick & Float" at the pool; designed to cross market these activities to generate interest.
-David Fowkes and Manfred Ray will present team jersey proposal to ICA in February, who would provide funding for Madison teams; these will be slipped over club jersey's for better identification of racers by judges; each jersey can be sponsored for $50, and 15 pairs of jerseys are required.
-Imelda March (discussed after her departure) needs to get all remaining '06 race information/results posted on NCC website that have not already been; Manfred will work with Imelda to accomplish and, determine most efficient way to expedite this flow of information this racing season.

ANNOUNCEMENTS: Mark Suri was presented by Steve Goldberg as Treasurer's Director candidate; Mark introduced himself; the board voted Mark in-on behalf of the entire NCC Board Mark, WELCOME!!!

ADJOURNMENT: The meeting adjourned at 9:10 pm; Chris Mailing with motion, seconded, all in favor.
